HireCandid LLC ("HireCandid," "we," "us," or "our") operates hirecandid.com. This Privacy Policy explains what personal information we collect, how we use it, and the choices you have. By using our website or submitting information through our forms, you agree to this policy.

1. Information We Collect

We collect information you provide directly to us through our website forms:

  • Contact inquiries — name, email address, phone number, company name, and message content.
  • Talent requests (employers) — name, company, email, phone, role needed, engagement type, location preference, timeline, and notes about the open position.
  • Candidate profiles — first and last name, email, phone, LinkedIn URL, primary Salesforce role, years of experience, work authorization status, certifications, open-to preferences, resume file (PDF or Word document), and any notes you include.

We also automatically collect limited technical data when you visit our site, including your IP address, browser type, and pages visited. This is used solely for security and diagnostic purposes.

2. How We Use Your Information

  • To respond to your inquiry or request within 1 business day.
  • To match candidate profiles with relevant job opportunities and present suitable candidates to employer clients.
  • To contact you about open roles or staffing needs that match your stated preferences.
  • To send occasional relevant updates about HireCandid services (you may opt out at any time).
  • To improve our website and services through aggregate usage analysis.
  • To comply with legal obligations.

We do not sell, rent, or trade your personal information to third parties for their own marketing purposes.

3. How We Share Information

We share your information only in the following limited circumstances:

  • With employer clients — if you submit a candidate profile, we may present your information (excluding your resume without consent) to companies with relevant open roles. We will always notify you before making a formal introduction.
  • With candidates — if you submit a talent request, we may share your company name and role details with candidates we believe are a strong match.
  • Service providers — we use hosting and email infrastructure providers (currently operating on servers in the United States) who process data strictly on our behalf and are bound by confidentiality obligations.
  • Legal requirements — if required by applicable law, subpoena, or court order.

4. Resume and Document Storage

Resume files uploaded through our candidate submission form are stored securely on our server. They are accessible only to authorized HireCandid staff. We retain resumes for up to 24 months from the date of submission, after which they are deleted unless you have an active placement or have requested otherwise. You may request deletion of your resume at any time by contacting us.

5. Cookies

Our website uses a minimal session cookie required for CSRF protection on our contact forms. We do not use advertising cookies, tracking pixels, or third-party analytics cookies. If you disable cookies, the contact forms on our site may not function correctly.

6. Data Retention

We retain contact form submissions and talent requests for up to 3 years for business record-keeping purposes. Candidate profiles are retained for up to 24 months from last contact or submission, whichever is more recent. You may request deletion of your data at any time (see Section 8).

7. Security

We implement reasonable technical and organizational measures to protect your information, including HTTPS encryption for all data transmitted to our website and restricted access to our database. No method of transmission over the internet is 100% secure. If you believe your information has been compromised, please contact us immediately.

8. Your Rights

Regardless of your location, you have the right to:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete information.
  • Delete your information from our systems (subject to legal retention obligations).
  • Opt out of marketing communications at any time.
  • Withdraw consent for us to present your profile to employer clients.

To exercise any of these rights, email us at contact@hirecandid.com with "Privacy Request" in the subject line. We will respond within 10 business days.

9. Children's Privacy

Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. We encourage you to review this policy periodically. Continued use of our website after changes constitutes your acceptance of the revised policy.
